What you´ll do

  • Comprehensive administrative and organizational support for department management in day-to-day operations, including calendar management and appointment planning and coordination
  • Planning, monitoring, and controlling internal projects aimed at improving communication and process workflows
  • Independent conceptualization, preparation, execution, and follow-up of international meetings, committee sessions, and workshops, including the required success evaluation (surveys)
  • Professional correspondence and preparation of results and materials (telephone calls and emails, creation of presentations)
  • Reliable handling, coordination, and content-related support for global ad hoc requests
  • Organization of international business trips, including planning, booking, coordination, and travel expense settlement
  • Onboarding of new colleagues, coordination of internal relocations and new office setups, as well as regular backup support for other assistants in AMC
  • Various administrative tasks such as placing orders, coordinating IT matters, visa applications, creating and maintaining SharePoint sites and distribution lists, and supporting colleagues at other locations when needed

What makes you a good fit

  • Completed commercial or business administration training; a bachelor’s degree is desirable
  • Minimum of 5 years of relevant professional experience in a comparable assistant or coordination role at senior management level
  • Extensive project management experience combined with strong time management skills and excellent organizational and coordination abilities
  • Confident stakeholder management and very good communication skills in an international environment
  • High level of proactivity, personal responsibility, and a solution-oriented working style
  • Fluent English skills; additional foreign language(s) are an advantage
